Hematon Agricultural Equipment Access Programme

Privacy Policy

How Hematon Agro Services Ltd handles personal information used to administer customer applications, payments, procurement and equipment fulfilment.

Effective / last updated: 21 September 2026

This policy explains Hematon's current programme practices. It is an operational privacy notice and may be updated following legal, regulatory or professional review.

1. About this Privacy Policy

This Privacy Policy explains how Hematon Agro Services Ltd collects, uses, stores and protects personal information when you use the Hematon Agricultural Equipment Access Programme, our website, customer account services, payment-verification process and equipment fulfilment services.

This notice is prepared with reference to Zambia's Data Protection Act No. 3 of 2021. It should be read together with the programme Terms & Conditions and any specific notices presented when information is collected.

  • signed Terms & Conditions and other application documents;
  • delivery or collection information;
  • communications with Hematon regarding your account or application; and
  • technical and security information necessary to operate and protect the service.

3. Why we use personal information

We may use personal information to:

  • register and manage customer accounts;
  • review equipment-access applications;
  • administer progressive payment plans and verify submitted payments;
  • issue receipts, statements and programme notifications;
  • coordinate suppliers, purchase orders, delivery and collection;
  • verify equipment release and record final handover;
  • respond to customer enquiries and support requests;
  • maintain programme, financial, security and audit records; and

4. How information is shared

Personal information is not made available to advertisers. Information may be shared only where reasonably necessary for the programme, such as with authorised Hematon personnel, approved equipment suppliers, delivery or fulfilment partners, technology service providers, or lawful authorities where required by law.

Suppliers should receive only the information required to prepare, verify or release the relevant equipment. Hematon does not intend to give suppliers unrestricted access to customer accounts or the admin system.

5. Payment information

The current programme does not require customers to make payment through an integrated online payment gateway. Customers may submit payment details and proof of payment for Hematon Finance to verify.

Payment proofs, transaction references, verification decisions and related records may be retained as part of the customer's financial and programme record.

6. Data security and access

Hematon uses administrative and technical controls intended to reduce unauthorised access to programme data. Access to administrative functions is role-based, including separate functions for programme, finance, fulfilment, content and super-administrator roles.

No internet-based system can guarantee absolute security. Hematon reviews access controls, account security and document-handling processes as the programme develops.

7. Data retention

Personal information is kept for as long as reasonably necessary for the purpose for which it was collected, for programme administration, financial and audit records, dispute handling, security, and applicable legal or regulatory requirements.

Hematon is developing formal retention schedules for different categories of programme records. Records should not be retained indefinitely without a legitimate operational, contractual or legal reason.

8. Your privacy rights

Subject to applicable law and any lawful limitations, you may request information about personal data Hematon holds about you, request correction of inaccurate information, object to or request limitation of certain processing, or request deletion where the information is no longer lawfully required.

Requests may require identity verification before Hematon can act on them. Some information may need to be retained where required for financial, contractual, fraud-prevention, audit or legal purposes.

Customers who want their Hematon Equipment Access account deleted can initiate a request through the dedicated account deletion page.
